As needed during Monday - Friday, 8 AM - 5 PM

Purpose of the Position:Â
Ensures patients are greeted professionally and courteously. Processes proper paperwork and collection of co-pays. Maintains medical records and a variety of clerically related function throughout the vision center. Maintains optical portion of patient charts, including progress notes, tests results filed, etc. Also acts as to assist the patients with their spectacle and contact needs.
Essential Functions:
- Greets and assists patients in a timely and friendly mannerÂ
- Verifies vision benefits and relays any pertinent insurance benefit information prior to material purchasesÂ
- Answers phones and directs calls appropriatelyÂ
- Accesses data base to schedule, confirm and update appointments as necessaryÂ
- Answers patient questions regarding their account, obtains assistance if necessaryÂ
- Verifies eligibility for all "walk-in" and same-day patients as necessaryÂ
- Safely operates optical machineryÂ
- Assists patient with materials purchasesÂ
- Orders and dispenses materials according to vision center policies and proceduresÂ
- Repairs spectacles as brought in by patientsÂ
- Handles patient complaints/issues regarding materials according to policies, obtains assistance if necessaryÂ
- Checks out patients and documents material sales and/or payment collection from patient on encounter formsÂ
- Obtains and documents vision insurance benefit authorizations for exams and materialsÂ
- Coordinate referral appointments for patients for diagnostic testing, evaluations, and treatment based on insurance type and according to provider-stated urgencyÂ
- Documents and reports back to providers if unable to complete referral as requestedÂ
- Maintains daily log and balances deposit daily on cash log in the dispensaryÂ
- Maintain medical record system for the vision centerÂ
- File reports, labs, progress notes, prescriptions, and other incoming optometric reportsÂ
- Pull charts upon requestÂ
- Maintains appropriate quality control logsÂ
- Responsible for accessing voice mail messages and coordinating follow-up in a timely fashionÂ
- Ensures that all encounter forms are complete and accurateÂ
- Forwards all necessary paperwork to appropriate sources or agenciesÂ
- Obtain prescriptions or orders from outside optometrists/ophthalmologists as necessaryÂ
- Enter information into computer in a timely mannerÂ
- Accesses faxed and mailed reports from specialists, forwards then to ordering provider for review, and ensures placement, along with other pertinent paperwork into the patient's chart, as per protocolÂ
- May require other duties as assigned
Job Requirements:
EDUCATION:
- Licensed in state of practiceÂ
- High School diploma or equivalentÂ
 EXPERIENCE:
- Two to three years optometric dispensary experience with a multi-line telephone system preferred
